Bookkeeping that stays current as the month runs.
Most bookkeeping is archaeology — months reconstructed after they end. Ours is kept live: categorized, reconciled and closed every month, on software we build ourselves and include in one fixed fee.
What’s included
One fee covers the work and the system it runs on. This is what a month of it looks like.
Every transaction categorized
Statements come in, entries go to the right accounts — with the source document attached to the line it belongs to, so any figure traces back in one click.
Bank and card reconciliation, monthly
Every account agreed to its statement every month — not rebuilt at year-end. Differences get investigated the month they appear, while the answer is still findable.
HST tracked as you go
Your GST/HST position is a number you can see all year, reconciled to the books — not a surprise assembled at filing time from twelve months of guesswork.
A monthly close you can read
Profit and loss, balance sheet, who owes you, what you owe — delivered monthly in plain terms, with VertAcc AI on top to answer questions about your own numbers.
Receipts and bills captured
Photograph it, upload it, or drop it in a folder — it gets read, matched, and filed against the transaction. The shoebox era ends.
Payroll and filings connected
Because the same team runs your payroll and filings, the books feed them directly — no re-keying between a bookkeeper, a payroll service, and an accountant.
Why the software matters
Every other firm's bookkeeping sits on someone else’s software — a licence you pay beside the fee, built by a company that has never met your business. We are an accounting firm that writes its own platform: the people keeping your books are colleagues of the people building the system they keep them in. When something should work better, it gets built — not logged with a vendor.
- — No software bill beside the accounting fee, ever
- — Setup and migration done free, by the team that keeps the books
- — You see the same live books we work in, not a monthly PDF
- — Books that cannot go out of balance: double-entry enforced by the system itself
How it starts
A 20-minute conversation
Free, and genuinely 20 minutes: your volume, your entities, the state of the books. If we are not the right fit, we say so and point you somewhere.
A fixed fee, in writing
One number for the year, agreed before any work starts. Software, setup and onboarding are part of it — there is no second bill from anyone else.
We take it from there
Our team builds your books on our platform, catches up whatever is behind, and runs the monthly close. You watch it happen in the same system we work in.
Asked about bookkeeping
How is this different from hiring a part-time bookkeeper?
A bookkeeper keeps the books; you still need software, a payroll service, and an accountant for filings and year-end — four vendors, four handoffs. Here it is one team on one system: bookkeeping, filings, payroll and year-end connected, with the platform included. And there is no key-person risk when one bookkeeper goes on vacation or leaves.
What does bookkeeping cost in Ottawa?
Ottawa rates commonly run $50–$100 per hour, which makes the annual cost unknowable in advance. We price it differently: a fixed monthly fee agreed before we start, based on your transaction volume and entities — with software, setup, calls and questions included. You know the year's cost before you commit to it.
Do I need to buy QuickBooks or other software?
No. Your books run on the VertAcc Platform, which we build and operate — setup is free and the licence is part of your fee. If you're on QuickBooks or a spreadsheet today, we migrate your history over and the balances tie out to the day you switch.
We're months behind. Can you start anyway?
That is the most common starting point, not a disqualifier. We catch the backlog up first — see our catch-up bookkeeping service — then hold you on the monthly close so it never rebuilds.
Ready to put your
business on autopilot?
Twenty minutes, no charge. We will look at how your books are kept today and tell you exactly what we would do differently — and that advice is yours to keep, whether you hire us or not.
