Books that cannot go out of balance

Every transaction posts as matching debits and credits, and the database itself rejects an entry that does not balance — so an unbalanced book is not something that can happen and then get found later. Amounts are held to the exact cent, never as decimals that drift a rounding error at a time.

Corrections leave both entries

A posted entry cannot be edited or deleted. Fixing one posts an exact reversal alongside it and both stay visible — which is the difference between books an auditor can follow and a spreadsheet somebody tidied.

The source travels with the number

The statement page or receipt a line came from stays attached to it, alongside the record of who touched it and when — here, VertAcc AI imported and categorised it at 6:04 in the morning and a person reviewed and posted it at 9:12. “Where did this figure come from” is a click, not an afternoon.

On filings, precisely who does what

GST/HST, payroll remittances and your year-end slips are prepared from your own books and tracked to their deadlines. The software does not transmit them. A named person on your VertAcc team reviews each return, submits it, and records the confirmation number against the filing — because a deadline you are still legally responsible for is not something to let a piece of software imply it has handled.

Document signing

Signatures are part of the platform, not another subscription.

A complete signing system, built into the platform and included with it. Upload any document, place the fields, and send it to whoever has to sign — they open a secure link, sign in their browser without creating an account, and the finished copy files itself in your drive with a full audit trail attached. No per-signature charge, and nothing else to subscribe to.

Any document, and anyone you deal with
Upload any PDF and send it to whoever needs to sign — a subcontractor, a landlord, a supplier, a new hire, a client. It is not limited to the paperwork we prepare for you, and the other party does not need to be a VertAcc client.
You decide where the fields go
Drop signature, initial, date and text fields exactly where they belong on the page, and assign each one to the person who has to fill it. The signer sees only their own fields and cannot submit until every required one is done.
One document, several signers
Send to one person or to several. Where order matters — a partner after a director, say — the envelope signs in sequence, and each signer is only asked once the one before them is finished.
Every step is on the record
Created, sent, opened, signed — each event is timestamped with the signer’s IP address, alongside their consent to sign electronically. That trail is the completion certificate, and it cannot be edited afterwards.

Those divisions are how you control your own staff, too. Put someone on Money in and the tools for everything else are filtered out before the assistant ever sees them — so it cannot be talked into running payroll on their behalf, because for them it does not have the control at all.

It answers out of your ledger, and shows its working

Answers are assembled from the rows, invoices and filings in your own account, and it names them. Ask about a figure and you get the transactions behind it; ask a tax question and it checks the statute and cites the section rather than recalling one.

It learns your business, and only your business

Every categorisation anyone makes is kept and read back the next time something similar arrives, so the queue of things needing your decision shrinks month over month. That memory is scoped to your books alone — there is no shared model being trained on them, and nothing another business decides can shape what you are shown.

It reads the actual documents, not the filenames

Receipts, bills, contracts, statements and scans are read for their contents — text extracted, summarised and categorised — so “book the receipt I just uploaded” works on the figures in the file rather than a guess from what it was called.

How the data gets in

Two on-ramps, and no live bank feed.

Statements. You upload them — CSV, PDF, or a photograph of one — and VertAcc parses the lines, applies your rules, and posts what it is sure about. We are not connected to your bank through an aggregator, and we would rather say so here than have you find out in week one. A live feed is on the roadmap; it is not in the product today.

A folder you choose. Connect Google Drive and pick the one folder your finance documents live in — never the whole drive. VertAcc reads it, read-only at Google’s end, and syncs what it finds into your document Drive. You can disconnect it at any time, and the connection is logged like everything else.

The gate

An AI that stops before it spends your money.

VertAcc AI can do the work of a bookkeeper, which means it can also make a bookkeeper’s mistakes at machine speed. So the instructions that carry real consequences do not run when the AI decides to run them. And the address itself has to be one you stand behind

Mail goes out under your business’s name, so VertAcc will only send to an address that is yours, one you typed into the chat, or one that was already on a contact before the conversation started. An address it finds inside an uploaded document is refused before the action is ever proposed, so a stranger’s address never reaches you with a Send button beside it.

Why the AI cannot forge that approval

    The model cannot run it on the turn it asks

    A tool marked with a side effect never executes on the turn it is requested. It returns a preview and stops. Releasing it takes a later turn that carries your own answer.

    The approval token is minted by the server and never shown to the AI

    It rides in the part of the result the interface reads and the model never sees. There is nothing the model can say that will be accepted as an approval.

    It is bound to the exact instruction

    The token is tied to this conversation and to a fingerprint of the precise arguments. A yes to emailing this invoice to this address is not a yes to a different invoice, a different amount, or a different recipient — and when the action finally runs, it runs on the arguments stored with your approval, not on whatever the model sends the second time.

  4. 04
    It fires once, then it is gone

    The approval is claimed atomically, so a retry finds nothing left to claim and has to be proposed again. It expires after fifteen minutes, and it is good for exactly one turn — a yes tomorrow cannot release yesterday’s action.

  5. 05
    It fails closed

    Your reply is read by the server, not the model, and only an unmistakable go-ahead counts. Anything it doesn’t clearly recognise leaves the action pending and VertAcc asks again. A no anywhere in your first line vetoes it outright.

A system prompt is not a control. Both of the copilot’s structural guardrails were moved out of the prompt for that reason: this one, and the fence around untrusted text described further down the page.

Twenty-three actions are gated. The rest of the day isn’t.

A product that asks permission for everything trains you to click yes without reading, which is worse than not asking. So the line is drawn once, in a single table anyone on the team can read, and it is drawn around consequence rather than around risk-sounding words.

Anything that leaves the building
Emailing an invoice, requesting documents from someone, or switching on automatic chasing — mail goes out under your business’s own name, and there is no undo on a sent email.
Anything that invents a movement of money
Paying a bill, recording a payment, running payroll, remitting to the CRA, and every trust movement.
Anything that writes the ledger raw
Journal entries against any account, opening balances, and bulk recategorisations that repost many entries from one instruction.
Anything that undoes a good record
Voiding a transaction or a bill, cancelling an invoice, issuing a credit note, writing off a disbursement — and closing or reopening a period.
Deliberately doesn’t
Recording what already happened
Drafting an invoice, recording an expense or a bill. Nothing leaves the building until a send — which is gated — and each one is correctable by a void or a credit, which is also gated. A confirmation here would sit in front of the most common action in the product.
Categorising bank lines
Posting a transaction cannot invent an amount or a counterparty: the money side is fixed by a bank line that already exists, and the only choice is the category. That is classification, and it runs in batches all day.
Pulling your own files in
A drive sync copies inward from folders you chose, read-only at the provider, de-duplicated on the way in. Nothing leaves, no ledger is written, and running it twice does what running it once does.

There is an autopilot setting, off until you turn it on, that lets VertAcc get on with money work instead of talking each step through with you first. It does not open this gate. These twenty-three still wait for your answer either way — the gate is code, not a preference.

Security & data handling

You are handing over the whole company’s financial record.

So the answer to “who can see it, and what happens if something goes wrong” should be on the page before you have to ask for it. Here it is, in the order it actually matters.

First, the part most sites skip

There is no version of this where your accountant is locked out of your accounts.

VertAcc’s own team can read the data in your account. We say that plainly because it is what the product is: an AI does the bookkeeping and our people supervise it, and neither can do that against a file they are not allowed to open. Any firm that tells you otherwise is either not doing your books or not telling you the truth.

We had built the other thing — a vault even we could not read — and removed it in June 2026, because it made the product worse at the only job it has. What replaces the promise is a mechanism: the people who can see your file are named, what they touch is written down permanently, and the boundary that actually needs to hold — the one between your business and every other business on the platform — is enforced by the database rather than by our good intentions.

Your books stay in Canada
The database and the file storage behind your account run in a Canadian region. Nothing about your ledger, your documents or your filings is held somewhere you would have to explain to a regulator.
The sensitive fields are encrypted before they reach the database
Bank account numbers, business numbers, the tokens for any cloud drive you connect, and the secrets we hold on your behalf are encrypted with AES-256-GCM on the way in. A stolen copy of the database is ciphertext, not a customer list.
One business cannot reach another
Separation between businesses is enforced by the database itself, on every row, rather than by the application remembering to filter. Code above it can be wrong without the boundary moving.
Inside your business, people get the areas you give them
A bookkeeper you put on Money in cannot run payroll, disburse trust or void a bill — and that limit is enforced at the database on every write, so it cannot be routed around by talking to the API directly. Reading is deliberately left open across your own business, because silently blanking a colleague’s dashboard is a worse failure than the read it would prevent. Payroll is the exception and is closed on reading too: salaries and social insurance numbers are nobody else’s business.
Two-step sign-in, with a way back in
An authenticator app, plus recovery codes for the day the phone is lost — stored so that not even your own signed-in session can read them back, because a second factor with no recovery path is just a lockout waiting to happen.
Sessions end on their own
A machine left signed in on a shared desk closes itself out after a period of inactivity. The deadline is kept on the server and tied to the signed session, not to a timer in the browser — a timer in the browser is theatre, and a copied cookie jar walks straight past it.
The trail only ever grows
Every load-bearing action writes a line saying who did what, to what, when. There is no way to edit or remove one — not through the app, not through the database, not by us.
Nothing is deleted — it is reversed
A posted entry cannot be edited or removed; the ledger forbids it. A mistake is corrected by posting an exact reversing entry, and both stay visible forever. Trust movements go further still: they can never be removed at all, only reversed, which is what a law society expects to find when it looks.
Text VertAcc reads from a file can never become an instruction
Anything pulled out of an uploaded document, an imported statement, a synced drive or a news feed is wrapped with a marker naming where it came from, and the model is told once, in a rule it cannot overwrite, that everything inside a marker is data. A sentence hidden in a PDF telling the AI to email someone is text it reports, not an order it follows.
Your conversations with the AI are kept for thirty days
Then they are deleted, on the clock of the last message rather than the first — a thread you are still using never disappears out from under you. The deletion runs behind a database function that no signed-in session, ours or yours, is able to call.

Two things this page will not claim: that we hold a certification we have not been audited for, and that your data is invisible to your own accountants. If a control matters to your board or your insurer and it is not on this list, ask — a straight answer is cheaper for both of us than a discovery later.

There is no signup button, on purpose.

Accounting software that lets you sign up in ninety seconds has quietly made the hardest part your problem: everything your business did before today. Get that wrong and every figure after it is wrong too — politely, invisibly, for years.

So we do it. Our own team sets the account up around your business and hands it over working. What follows is the actual order of it.

How long it takes depends on one thing: how much history there is and how fast we can get it. We will tell you which one you are after the first conversation — not before it.

  1. Before anything is typed

    A conversation about how your business actually works

    What you sell, how you bill for it, which provinces you are registered in, who touches money, and what your last accountant left behind. This is the part that decides your chart of accounts and the terminology on your screens, and it is why there is no signup form — a form cannot ask a follow-up question.

  2. The step nobody can self-serve

    Your opening balances, converted properly

    A business that existed before us arrives with real balances — money in the bank, customers who owe you, suppliers you owe, a loan, a van. We gather them onto a worksheet across as many sittings as it takes, then post them once as a single dated, balanced entry, with a real invoice for every carried-over unpaid invoice and a real bill for every unpaid bill.

    Anything that will not reconcile is posted to Opening Balance Equity as a named line rather than quietly absorbed, so a year from now that figure still has an answer.

  3. Getting the paper in

    Your documents, connected once

    Point us at the one folder where your finance documents live and VertAcc syncs it, read-only at Google’s end, into your document Drive. Everything after that — receipts, bills, statements — can simply be dropped in, and it is read for its contents rather than filed by its name.

Can I sign up myself?

No — and it is deliberate. Our team sets the account up around your business and hands it over working, because the part nobody can self-serve correctly is the conversion of everything your business did before today. Start the ledger wrong and every figure after it is wrong too. Book a call and the first conversation is that setup.

Do I have to move off my current software first?

No. We take your closing position from whatever you are on now — bank balances, unpaid customer invoices, unpaid supplier bills, loans, equipment — and post it as your opening balances, with a real invoice and a real bill for each carried-over item. That is what lets your first bank reconciliation actually tie.

Can the AI move money without asking me?

No. Twenty-three actions — anything that leaves the building under your name, invents a movement of money, writes the ledger raw, or undoes a good record — cannot run on the turn the AI asks for them. They return a preview and wait for your own answer, and the approval is bound to that exact instruction and can only be used once. There is an autopilot setting for how chatty it is about money work in general; it does not open that gate.

Can VertAcc’s staff see my books?

Yes. Our team can read the data in your account, because an AI doing your bookkeeping and humans supervising it cannot work against a file they are not allowed to open. There is no tier where your accountant is locked out of your accounts. What we do instead is make it accountable: separation between businesses is enforced by the database, every load-bearing action is written to a trail that cannot be edited or deleted, and you decide which of your own people see which parts.

What happens when something is categorised wrongly?

It is corrected, not erased. A posted entry cannot be edited or removed — the ledger forbids it — so the fix posts an exact reversing entry and the new one, and both stay visible with who did what and when. The correction is also remembered, so the same transaction stops needing your decision next month.

What if I want to leave?

You can download your complete books as one spreadsheet — chart of accounts, the full general ledger, invoices and their lines, bills, contacts and your price list — at any time, without asking us. If you want the business removed entirely rather than exported, that is a request we can carry out.
